
Newcomer's Day at Company X

The Newcomers' Day was created to support Company X's onboarding program. The event was designed to welcome new employees with an immersive introduction day to foster connections among new hires, introduce them to the management team, and provide a comprehensive overview of the company's values and operations. A key goal was to help new employees understand the company's overall operations beyond their own team and function, ensuring they feel integrated, informed, and ready to contribute from the start.

Problem and Solution
Company X recognized the need to overhaul its onboarding process when it became evident that the quality varied across the company. Each team had its own methods, leading to inconsistencies and gaps in new employees' understanding of their roles and the broader company structure. A significant issue was that while individual teams did well in welcoming their newcomers, these new employees often struggled to grasp the bigger picture of their roles within the organization. Additionally, as part of a cultural shift, the company aimed to break down hierarchical barriers and foster closer connections between management and employees.

To address these needs, the company had designed Newcomers' Day as a part of their onboarding process. My role was to redesign this event to make it more engaging, interactive, and supportive for new employees. Feedback from the initial Newcomers' Day highlighted areas for improvement, such as better scheduling, more interactive elements, and additional breaks. While the content was valuable, it was perceived as too dense and static.
Here’s how I tackled these challenges:

Collaborating with Directors: I met with all the directors to review and refine their presentation materials.

Streamlining Content: I transformed existing lecture content into more digestible formats.

Incorporating Interactive Elements: I added activities like quizzes and "me-we-us" exercises.

Providing Preparation Guidelines: Participants and directors received clear instructions on how to prepare for the day.

Revising the Event Structure: I restructured the schedule into shorter, focused blocks with more breaks and energizing activities.

Facilitating the Event: I ensured the entire event ran smoothly and adhered to the schedule. And facilitated all the collaborative activities.

+ Additionally, I organized the venue, set up all necessary materials, ensured the technology was functioning correctly, and briefed everyone on their roles and expectations.

Feedback from the newcomers was very positive. They found the day interesting and engaging, and they appreciated learning about the company’s operations from a broader perspective. They also valued the opportunities to interact with other newcomers and build connections. Directors also reported a positive experience, feeling more connected with the newcomers thanks to well-facilitated discussions and a relaxed atmosphere.
